Event Production & AV Hire Terms of Service

1. Scope of Services

These Terms govern all equipment rental, technical production services, consultation, and crew deployment supplied by JJ Sounds Pty Ltd (“JJ Event AV”).

All quotations, proposals, invoices, or work performed are subject to these Terms unless explicitly agreed otherwise in writing by an authorised director of JJ Sounds Pty Ltd.

Services may include but are not limited to:

  • Professional Audio Systems
  • Video Projection & LED Display Systems
  • Lighting Systems
  • Event Technical Crew
  • Technical Design & Production Management
  • Broadcast / Hybrid Event Systems

2. Booking Confirmation & Payment

2.1 Deposit Requirement

A 50% deposit is required to reserve equipment inventory and allocate technical crew.

Bookings are confirmed only once cleared funds have been received. Equipment and personnel are allocated on a first-confirmed basis.

2.2 Balance Payment

The remaining balance must reflect as cleared funds no later than 24 hours before scheduled load-in.

Proof of payment alone does not constitute confirmation of funds.

2.3 Currency

All invoices are issued and payable in South African Rand (ZAR). Any currency conversion charges or bank transfer fees are the responsibility of the client.

2.4 Right to Suspend Services

JJ Event AV reserves the right to withhold or suspend equipment delivery, installation, or technical services where payment terms have not been satisfied.

3. Late Payment & Debt Recovery

Invoices not settled within the stated payment terms will incur the following penalties.

3.1 Interest on Overdue Accounts

Outstanding balances will accrue interest at a rate of 2% per month (24% per annum), calculated daily and compounded monthly.

3.2 Administrative Charges

JJ Event AV reserves the right to apply a reasonable administration fee to accounts outstanding beyond 30 days.

3.3 Suspension of Future Services

Clients with overdue accounts may have:

  • future bookings suspended
  • equipment allocations cancelled
  • technical services withheld
until all outstanding balances are settled in full.

3.4 Debt Recovery

Accounts outstanding for more than 60 days may be referred to external debt recovery or legal representatives.

The client shall be liable for all legal costs, collection fees, tracing costs, and attorney fees on an attorney-and-client scale.

4. Cancellation & Postponement

Upon booking confirmation, JJ Event AV allocates equipment inventory and technical personnel specifically for the client’s event.

Cancellation Fees

  • 7+ days before event: 50% of total project value payable
  • 2–6 days before event: 75% payable
  • Less than 48 hours before event: 100% payable

This reflects warehouse preparation, crew booking commitments, and loss of alternative business.

Postponements

Postponements may be accommodated subject to equipment availability and may incur a rebooking fee of up to 15%.

5. Equipment Responsibility

All equipment supplied remains the sole property of JJ Sounds Pty Ltd.

The client assumes full responsibility for equipment from the time of installation until collection.

This includes liability for:

  • Theft
  • Loss
  • Accidental damage
  • Damage caused by venue staff or third-party contractors

Clients are strongly advised to ensure event insurance covers hired-in technical equipment.

6. Venue & Technical Requirements

Access

Clear access must be provided for scheduled load-in and strike times.

Delays caused by the venue or client may incur additional labour charges.

Power

The venue must supply stable, earthed electrical power within reasonable proximity of equipment installation.

JJ Event AV is not liable for failures caused by venue power instability, municipal outages, or generator faults not supplied by us.

Safety

Technicians reserve the right to stop work where conditions present safety risks including weather exposure, unstable staging, or electrical hazards.

7. Crew & Operational Conditions

Technical crew working hours are based on standard event industry shifts.

Where schedules extend beyond agreed times, overtime labour charges may apply.

The client must ensure safe working conditions, reasonable access to facilities, and compliance with venue safety regulations.

8. Limitation of Liability

JJ Event AV’s liability is strictly limited to the value of the services contracted.

We are not liable for indirect or consequential losses including:

  • Loss of event revenue
  • Reputational damage
  • Schedule disruption
  • Third-party contractor failures

9. Force Majeure

JJ Event AV shall not be held responsible for failure to perform due to circumstances beyond reasonable control including but not limited to:

  • natural disasters
  • government restrictions
  • civil unrest
  • utility failures
  • transport disruptions

11. Acceptance

Acceptance of any quotation, invoice, booking confirmation, or payment constitutes full acceptance of these Terms of Service.
